Refund & Cancellation Policy – VacationBuddy


Effective Date: 10th May 2022


This Refund & Cancellation Policy applies to all bookings made directly with VacationBuddy, including bookings via our website, phone, WhatsApp, social media, or any other direct channel.



1. Direct Bookings – Strict Policy


All direct bookings with VacationBuddy are NON-CANCELLABLE and NON-REFUNDABLE.


Once a booking is confirmed and payment is received:

    •    No cancellation is permitted

    •    No refund will be issued under any circumstances


This applies irrespective of:

    •    Personal reasons

    •    Medical emergencies

    •    Travel disruptions

    •    Weather conditions

    •    Change of plans

    •    No-shows

    •    Early check-out



2. No-Show Policy

    •    Failure to check in on the scheduled date without prior written approval will be treated as a no-show.

    •    In case of a no-show, the entire booking amount will be forfeited.

    •    The reservation will be automatically cancelled without refund.



3. Early Check-Out

    •    If a guest checks out before the confirmed departure date, no refund or adjustment will be provided for unused nights.



4. Date Modification Requests

    •    Date change requests are not guaranteed and are subject to:

    •    Availability

    •    Management discretion

    •    Approved changes may involve:

    •    Fare differences

    •    Administrative charges

    •    VacationBuddy reserves the right to reject any modification request.



5. Force Majeure


VacationBuddy shall not be liable for refunds or cancellations arising due to events beyond our control, including but not limited to:

    •    Natural disasters

    •    Government restrictions or lockdowns

    •    Strikes or transport shutdowns

    •    Acts of God


In such cases, refunds are not assured and any resolution shall be at the sole discretion of VacationBuddy.



6. Booking Cancellation by VacationBuddy


In the rare event that VacationBuddy is unable to honor a confirmed booking due to operational or unforeseen reasons:

    •    Guests will be offered either:

    •    A full refund, or

    •    An alternative accommodation of similar standard (subject to availability)


This will be VacationBuddy’s maximum liability.



7. Third-Party / OTA Bookings

    •    Bookings made via third-party platforms (e.g., OTAs) are governed by the refund and cancellation policies of those platforms.

    •    VacationBuddy shall not be responsible for refunds processed through third-party channels.



8. Dispute & Chargeback Protection

    •    Guests acknowledge that by completing the booking, they agree to this Refund & Cancellation Policy.

    •    Any chargeback or payment dispute raised despite agreement to this policy may be contested with supporting documentation.



9. Acceptance of Policy


By making a booking and completing payment, the guest confirms that they:

    •    Have read and understood this policy

    •    Agree to the non-cancellation and non-refund terms

    •    Accept that no exceptions will be made
